General Information for VISA

Anyone entering Japan must have a valid passport. In addition, person coming from certain countries must have a visa issued by Japanese Embassy or Consulate in their country. Please consult your local Japanese Embassy or Consulate as to whether or not a visa is required. It could sometimes take more than a month to obtain a visa, so please plan in advance if you need a visa to enter Japan .
There is no system by which a proxy can carry out the application procedures in Japan .

The secretariat can issue a letter of invitation and necessary documents upon request to those who need a visa and have completed registration.

Please download the form for "VISA Questionnaire" and make sure to type the all blanks. After you fill in the form, please send it to the Secretariat by fax or e-mail.

Notes:

• Registration and payment must be completed before a letter of invitation can be issued.
• The letter of invitation is issued to assist participants with travel arrangements, and it does not imply a commitment to provide any financial support.
• For visa application status, please directly contact the diplomatic mission to which you apply for your visa.
• Those who do not fly directly to Japan may need a transit visa in some countries to continue traveling.

Insurance

The organizing committee assumes no responsibility for accidents or damage to the private property of participants. Please make your own arrangements for health insurance and any other necessary insurance.

Registration

Registration via the website is strongly recommended.
If you encounter the situation as follows, please contact the Secretariat.

• You are unable to use the on-line registration.
• You do not receive a confirmation e-mail within two or three days after finishing your registration.

Registration Fee

Registration fee must be paid in Japanese Yen.
Registration fee: JPY 20,000.

Cancellation

Cancellation notice should be made to the Secretariat indicating the participant's name and the Registration ID in writing by an e-mail (jrs69@secretariat.ne.jp). Refund of the registration fee will be governed by the following conditions:

Cancellation on and before March 3, 2010	50% (minus bank transfer charge)
Cancellation from March 4, 2010 onward	No refund

*Notes: All refunds will be made after the Meeting has been held.

Instruction

• All remittance handling fees must be paid by the remitter.
• The remitter's name should be the same as the participant's name. If the remittance covers more than one person, please inform the Secretariat of the names and Registration ID of each person.
• Please included your Registration ID with the name of the sender when remitting your registration fee.

Notes:

• Registration will be deemed incomplete without payment of the registration fee.
• Personal Check or Bank Draft will not be accepted.
