Instructions for Authors

Please read the following instructions before submitting your abstract.

  1. The abstract must be written in English.
  2. The abstract title must be within 120 characters including spaces.
  3. The abstract body should be within 1200 characters including spaces.
  4. All authors (main and co-authors) must be a member of JCA. Those who are not members, please access http://www.jca.gr.jp/english/admission.html and follow the procedure for becoming a member.
  5. The abstract may be rejected if the instructions are not followed properly.
  6. Accepted abstracts will be published and distributed at the meeting.  Abstracts will appear in print exactly as submitted.
  7. An abstract registration number and password are necessary to edit your abstract. Please make sure not to lose that information.
  8. Up to 13 authors including a main author (from up to 7 Institutions) can apply.
  9. Please note that even if line feed is designated appropriately for a good appearance when preparing the text of an abstract, the ideal effects cannot be expected after printed. In addition, please refrain from using hyphenation to separate a word at the end of a line to start a new line. The ends of lines will not necessarily accord with the printing process.
  10. In the box for the main text, please do not insert any table or figure.
  11. Please make a note of your Registration No. and Password for future use. These are necessary to edit your abstract or seek information from the secretariat. For security purposes, we are unable to answer any questions regarding passwords.
  12. Notification of acceptance will be announced to the first-author by E-mail.

Special Characters, etc.

  1. Please refrain from using characters such as ¡Èαβγ¡É in symbolic face (1-byte character), since they are automatically transformed into abc, etc. Please make sure to use HTML tags.
  2. In the title and the main text of abstracts, superscript, subscript, italic face, bold face, and underline are available, only if the follwing html tags are used.
    Tags to use superscript, subscript, italic face, bold face, underline, or line feed, including <SUP></SUP>, <SUB></SUB>, <I></I>, <B></B>, <U></U>, and <BR>, must be in 1 byte characters.  Please refer to the registration page for more details.

FAQs for online abstract submission

Q. I lost my password.

For security reasons, we are unable to answer any questions regarding passwords. Please keep a copy of your password to avoid this problem.

Q. The error message ¡Ètimed out¡É appeared on the screen when I clicked the ¡ÈSubmit¡É button.

If you take more than 60 minutes to submit an abstract, the page you are working on will be lost. Instead of typing your abstract directly on the abstract registration page, it is highly recommended to create your abstract on using a word processor application and then copy and paste the abstract text to the text box on the abstract registration page.

Q. When I click on ¡ÈSubmit¡É, the error message says, ¡ÈThe number of characters are exceeded in authors and organization fields¡É, even though I input them within the specified character count.

Please include spaces when counting characters. It might be a case when spaces are counted towards the limit of the character count.

Q. How do I enter Roman numerals?

Roman numerals are not accepted as they are not defined in JIS code. Please combine the letters ¡ÈI¡É and ¡ÈV¡É to enter Roman numerals such as ¡ÈII¡É and ¡ÈIV.¡É

Q. What is the difference between cipher communication and plaintext communication?

Using cipher communication is highly recommended when you submit an abstract or check/revise your registered information. It prevents interception of on-line communications and unauthorized access by third parties who might try to cancel or reveise your registered information.
Plaintext communication should be used only in cases where you are not able to use cipher communication.
Your facility or provider¡Çs settings may have a problem, or you are perhaps using an older version of a browser.

Q. What is Organization Number and how do I input it?

The UMIN online abstract submission system considers the top author¡Çs institute number as ¡È1¡É. Please type the institute name(s) in the institution name field(s) below the contact address field, only if there are co-authors whose organizations are different from the top author¡Çs. Then check the corresponding number below each co-author¡Çs name.

Q. Special characters change to garbled characters in the review screen and the confirmation e-mail message.

For details, please refer to ¡ÈFAQ for general users¡É at the bottom of the UMIN registration page for information regarding entering special characters.

Q. I did not receive a confirmation e-mail message after completing personal information registration and abstract submission.

Once submission is completed, you will automatically receive an e-mail from the UMIN Center confirming receipt of your submission. In case you have not received confirmation that we received your Abstract within 24 hours of registration, incorrect e-mail address may have been registered or your registration process may been unsuccessful. Please return to the Confirmation screen and check to see if you entered a correct e-mail address on the registration form, by clicking on "Save and Submit" button on the Confirmation / Correction screen.
We will send Acceptance Notification and other conference related information by e-mail. Please review your e-mail address for any typing errors before completing registration.
