General Information for VISA

Anyone entering Japan must have a valid passport. In addition, people coming from certain countries must have a visa issued by Japanese Embassy or Consulate in the country. Please consult your local Japanese Embassy or Consulate to determine whether a visa will be required. It could sometimes take more than a month to obtain a visa, so please plan in advance if you need a visa to enter Japan.

There is no system by which a proxy can carry out the application procedures for you in Japan.

The secretariat can issue a letter of invitation and necessary documents upon request to those who need a visa and have completed registration.

Please download the form for "VISA Questionnaire" and make sure to type the all blanks.

After you fill in the form, please send it to the Conference Secretariat by e-mail or fax.

Please send the "VISA Questionnaire" to the Conference Secretariat of ASCI2009.

Notes:

• Registration and payment must be completed before a letter of invitation can be issued.
• The letter of invitation is issued in order to assist participants with travel arrangements, and it does not imply a commitment to provide any financial support.
• For visa application status, please directly contact the diplomatic mission where you apply for your visa.
• Those who do not fly directly to Japan may need a transit visa in some countries to continue traveling.
• In some countries, it takes more than one month to get a visa.

Insurance

The organizing committee assumes no responsibility for accidents or damages to the private property of participants. Please make your own arrangements for health insurance and any other necessary insurance.

Registration

• Registrations are now welcome through the on-line registration system.
• If you have the following situations, please contact the Conference Secretariat.
  • You are unable to use the on-line registration.
  • You do not receive a confirmation e-mail within two or three days after completing your registration.

Registration Fee

Registration Fee must be paid in Japanese Yen. Registration fee includes an abstract book and banquet fee.

Early Registration

The deadline for the early registration with payment is March 31(Tue), 2009.

Confirmation of Payment

At the beginning of May 2009, the secretariat will send an official receipt and name card to those who have completed their registration and have paid.

Your registration ID should be shown at the Registration Desk upon your arrival at the site to receive your name-card and the meeting materials.

Cancellation

Cancellation notice should be sent to the Conference Secretariat. Please inform us (asci2009@secretariat.ne.jp) of the participant's name and the Registration ID by e-mail.

Refunds of the registration fee will be subject to the following conditions:

Cancellation on and before April 3 (Fri.), 2009	100% (minus bank transfer charge)
Cancellation on and before May 6 (Wed.), 2009	50% (minus bank transfer charge)
Cancellation from May 7 (Thu.), 2009 onward	No refund

Notes: All refunds will be made after the congress.
